SEA3000 Logistics Support Officer – Job Ref – 0395/2026

The Defence Section at the Australian Embassy in Tokyo is seeking a highly motivated logistics and administration professional to support our personnel in Japan working on delivering the SEA3000 General Purpose Frigate Project.

The role supports high level and working level visit planning and execution, long-term posting coordination for incoming personnel, and assists with day-to-day project related administrative requirements. Responsibilities include liaising with Defence staff, industry representatives and Japanese suppliers to facilitate the transfer of personnel between Australia and Japan, basic induction support such as securing temporary and long-term accommodation in Tokyo, Yokohama and Nagasaki, assisting with school enrolments, transport, financial/banking services, and other administrative services required to assist SEA3000 Project Staff to conduct their role in Japan. The position also involves providing Japanese and English language support and bilingual administrative assistance including drafting emails, documenting minutes, and preparing basic translation of non-technical documents.

Applicants must demonstrate strong strategic communications capability; high proficiency in written and spoken Japanese and English; excellent judgement, teamwork and stakeholder engagement skills; and the ability to manage multiple projects with limited supervision. Experience in coordinating and supervising remote staff desirable. Applicants must demonstrate the ability to exercise discretion managing sensitive information. Driver – Job Ref – 0396/2026

The Australian Embassy in Tokyo is seeking a reliable and professional Driver to support the Corporate and Consular Section. The position provides safe, reliable and timely transport for Embassy officials and visiting guests, and assists with a range of operational, administrative, property and security-related tasks to support the smooth functioning of post.

Key responsibilities include driving Embassy and visiting officials as required; planning and assessing traffic routes to ensure punctual arrival at destinations; liaising with colleagues on schedule changes and traffic conditions; and maintaining Embassy vehicles to a high standard through daily checks, cleaning and accurate record-keeping of mileage and fuel consumption. The role also involves undertaking messaging tasks and providing routine corporate support as directed. The position may require after-hours and weekend work.

Applicants must hold a clean, valid Japanese ordinary driver’s licence and demonstrate professional driving experience in Tokyo, with strong knowledge of local roads and traffic conditions. Good communication skills in both Japanese and English, high standards of client service, flexibility and the ability to work effectively in a team environment are essential.
