Notarial services by mail
Due to high demand and the limited availability of in-person appointments, we ask that these services be completed by mail wherever possible.
Only the following Notarial services can be submitted by mail:
- Certified Copy of Original Documents
- Authentications or Apostilles - original paper documents only – applications for legalising electronic documents must be made in person.
- Certificate of No Impediment applications appropriately witnessed (only those witnessed by an Australian mission or local notary public are acceptable). Signatures witnessed by other Australians with valid qualifications or occupations who may be able to witness signatures in Australia, will not be accepted for Certificate of No Impediment purposes in Japan.
Notarial services by mail are offered from within Japan only. Fees are the same as services provided in person.
Notarial services by mail can be processed by the Australian Embassy Tokyo. Please note that requests submitted with incomplete documentation may be returned without processing. We kindly ask that you carefully review all required documents before sending them to us.

We aim to return documents within 2-5 working days of receipt by our office. .
We recommend you use a form of registered mail (eg. LetterPack / kakitome / kan’ikakitome) so you can track your documents.

Notarial services in person
Due to high demand and the limited availability of in-person appointments, we ask that these services be completed by mail wherever possible.
Notarial services are by appointment only. All Notarial clients must have an appointment in order to enter the Australian Embassy in Tokyo for the safety of yourself, other Embassy visitors and staff.

Please do not book more than one appointment. Clients who book multiple appointments may have their appointments cancelled.

The Department of Foreign Affairs and Trade (DFAT) uses third-party software (Setmore) to manage the Embassy / Consulate-General’s appointments. Your personal information (including your name and contact details) will be collected by DFAT via Setmore to book your appointment and for related purposes. By proceeding with this booking, you are consenting to the collection of this information by Setmore on DFAT’s behalf for these purposes. If this information is not collected, DFAT’s ability to arrange your appointment will be limited.
